Managing Open Postings.

If you are like most pharmacies that sell on MatchRX, items posted to the marketplace typically remain on the shelf until sold to another member pharmacy. During this “shelf time”, the NDC may be partially or fully dispensed to one of your patients while still for sale on MatchRX. If dispensed and the posting is not immediately updated or removed from the MatchRX marketplace, buyers will unknowingly purchase the item for a patient only to be notified shortly thereafter the order was canceled because the item is no longer available. This is a bad experience for the buyer AND the patient waiting for the medication. As a seller, below are a few tips to help keep postings accurate:

  • Place a MatchRX sticker on every item posted to the marketplace. When the item is dispensed, simply log into MatchRX and adjust the quantity or delete the posting. If time is an issue, take a quick photo of the item with your phone and make the adjustment at the end of the day. Need more stickers? Click here and we will mail you a free supply of 400 stickers.
  • Store the container upside down on your shelf (in addition to using the sticker) as a reminder.
  • Assign the management of your MatchRX postings to a tech. 
  • Allocate a dedicated shelf for posted items with a note that any item dispensed must be updated on MatchRX.

Make it a point to keep your postings up to date.  Doing so will help your seller rating and eliminate any unwanted surprises for the buyer and their patient.  Remember, MatchRX is designed to help independent pharmacies work together to improve pharmacy operations, cash flow, and patient services.

Helpful Hints

Tip 1: MatchRX experts are at your disposal.

Here are a few tips:

  • Use the QuickSearch feature to quickly search by NDC or drug name / strength.
  • Click on the drug image to view additional item details and the sellers other items.
  • When posting an item, place the mouse in the NDC field and scan the package bar code with a standard bar code scanner.
  • Quickly check the marketplace comparison chart to be competitive when setting the price.
  • Add a note to let buyers know of any package or label markings.
  • Set text message alerts on your Profile page for quick notification of a sale or delivery.

Tip 2: Shipping frozen/refrigerated items in HOT weather.

It’s summer and it’s important to remember shipping frozen or refrigerated items during these hot months need extra attention. Here are some tips:

  • Check how many hours your cool pack will keep contents cool. Important to note since travel time is overnight.
  • Wrap item in a plastic bag to keep from water damage.
  • Make sure the item is touching the cold pack, this will ensure the item stays cold.
  • Use a Styrofoam box, it makes for a great insulator. Keep a stack in your pharmacy.
  • Prepare your shipment, but keep the product in the freezer until FedEx picks-up your box.
  • Add a green “Refrigerated Item” sticker to your box, supplied to your pharmacy allowing the buying pharmacy to identify the frozen/refrigerated box. Out of stickers? contact customerservice@matchrx.com. In a pinch? Write “REFRIGERATED/FROZEN” on the box with a sharpie.

Tip 3: Shipping in a sturdy box is the best and only way to minimize the chance of transit damage.

A sturdy box with filler will protect your item from denting, squeezing a bottle, or popping the bottle top. DO NOT SHIP IN PADDED ENVELOPES! Remember, your box is included with other shipments in the FedEx truck, most being larger and heavier. Shifting will likely occur while in transit. We suggest the following tips when shipping:

  • Use a sturdy box and add paper to prevent the item from traveling in the box.
  • Adding cotton to the top of bottles helps prevent pills from chipping.
  • Pack all items tightly inside the box and use packing tape to seal all box flaps.
  • Do not use Express boxes for ground shipments.
  • Keep a collection of sturdy boxes in the back of your pharmacy.
